Most institute ERP decisions go wrong in the same way: the demo looks impressive, a lot of features are promised, and six months later half of them are unused while the one workflow you actually needed still runs on a register. The fix is to evaluate software against your own institute, not against a feature list.
This guide gives you a simple, honest framework for comparing institute ERP options — and a checklist you can take into any demo.
Start by mapping your current workflow
Before you look at any product, write down how your institute actually runs today. For each area, note who does it, what tool they use, and where things slip.
- Admissions: how an enquiry becomes an admission, and who follows up
- Student records: where a student’s details, batch and history live
- Fees: how dues are tracked and who chases them
- Attendance: how it’s taken and whether parents hear about it
- Tests and results: how marks are recorded and shared
- Reporting: how you answer "how is the institute doing" today
This map is the most valuable thing you can bring to a demo. It turns a sales pitch into a working test: "show me how your software handles exactly this."
The questions that actually matter
Student and fee records
- Can I see paid, outstanding and overdue fees per student and per batch at a glance?
- Can I export my own data (students, fees, attendance) to PDF or CSV whenever I want?
- How long does it take to add a new student or record a payment?
Attendance and communication
- Can attendance be marked by class, section and period without friction?
- Can parents be notified about attendance and results without a separate app?
- Which communication features are included, and which are paid add-ons?
Admissions and reporting
- How are enquiries tracked from first contact to admission?
- What reports does the director get, and can they be filtered by date, class and section?
- Does the system surface problems — overdue fees, low attendance, at-risk students — or do I have to go looking?
IntellSetu was built around these exact workflows — admissions, fees, attendance, academics and reporting in one system. Arrange a walkthrough and test it against your own map.

Software is only useful if your team can actually use it. Ask who gets access and what each role can see.
- Can teachers, the front desk and the director each have appropriate access?
- Is there a limit on staff accounts?
- What training and support is provided during and after onboarding?
Implementation and maintenance
The price on a slide is rarely the whole story. Understand the full arrangement before you commit.
- What does one-time implementation cover — configuration, data setup, training?
- What does annual maintenance include, and what is extra?
- How is pricing worked out — by student count, modules, scope?
- What happens to your data if you ever stop using the system?
Your evaluation checklist
Take this into every demo and score each product honestly:
- It handles my real workflow, not a generic one
- Fees, attendance and records are genuinely easier, not just digital
- My data is exportable and clearly mine
- Roles and access fit how my team works
- Implementation, maintenance and support are clearly scoped in writing
- The company was honest about what’s available now versus later
If a product clears this list against your own workflow map, you’re buying a tool you’ll actually use — not a feature list you’ll forget.
